Rapid infuser procurement for flow rate, warming, pressure, disposables, battery, training, and service.

Demonstrate setup and priming under emergency conditions with the exact disposable set; verify flow, warming, pressure and air alarms, battery, cleaning, stock rotation, and biomedical acceptance.

Compare a complete infusion program, not only one pump. Include consumables, library management, fleet maintenance, spares, training, and pump replacement pool.

Required Specifications

  • State exact intended use for rapid infuser, clinical location, workload, user group, required patient/application range where applicable, and level of care.
  • Specify flow range under stated tubing/catheter conditions, warming performance across flow, pressure limits, air detection/removal, reservoir and disposable set, temperature/pressure alarms, battery, portability, and cleaning.
  • Flow range, accuracy, pressure limit, occlusion alarm behavior, bolus control, syringe or IV-set compatibility, drug library support, battery runtime, mounting, event log, and cleaning limits should be measurable.
  • For high-risk areas, require dose-error reduction features, lockout options, anti-free-flow protection, and clear alarm priority.
  • Clinical use, patient range where applicable, functional modes, gas/power/scavenging or suction needs, alarm behavior, battery backup, cleaning limits, and startup/self-test workflow.
  • Installation requirements including ceiling/wall/floor support, utilities, service clearance, infection-control workflow, and responsibility matrix.
  • PM frequency, calibration/test equipment, critical spares, service response, and operating-room downtime escalation.
  • Name, category, and coding: generic name, specific type or variation, local naming/coding where available, and keywords linked to service area.
  • Purpose of use: clinical or operational purpose, level of care, clinical department/ward, user group, and overview of functional requirements.
  • Technical characteristics: critical measured or delivered parameters, ranges, displayed parameters, user-adjustable settings, alarms, compatibility, and interoperability.
  • Physical and utility requirements: dimensions/mobility, electrical supply, battery, water, gas, drain, network, environmental operating/storage limits, humidity, dust, and transport/storage conditions.

Bidder shall submit five-year lifecycle cost including PM kits, consumables, major spare parts, batteries/sensors/probes where applicable, labor/travel, software support, and post-warranty rates.

Vendor evidence: Lifecycle price schedule, PM checklist, spare-parts list, service report sample, and escalation contacts.

Evaluation note: Compare total ownership cost and downtime risk, not purchase price alone.

Optional Specifications

  • Advanced clinical modes, integrated monitoring, video/recording, additional arms/mounts, specialty accessories, extended service, or application training.
  • Additional disposables or reusable accessory sets priced separately.

Accessories

  • Include proprietary disposable sets, reservoirs, heat-exchange cartridges, tubing, pressure cuffs if used, air traps, temperature probes, carts, batteries/chargers, and startup emergency stock.
  • Price compatible syringes or IV sets, extension lines, anti-siphon valves, pole clamps, pump racks, batteries, chargers, barcode/drug-library licenses, and spare doors or clamps.
  • Gas hoses, power cords, mounts, carts, circuits, sensors, handpieces, sterile handles, footswitches, suction jars/filters, test accessories, and startup consumables as applicable.
  • Spare batteries, reusable accessories, adapters, cleaning tools, and storage items.

Compliance Requirements

  • The bidder shall provide a clause-by-clause compliance matrix with documentary evidence for each mandatory and scored requirement.
  • The bidder shall submit an itemized scope of supply, including main equipment, accessories, consumables, software/licenses, installation, commissioning, training, warranty, PM, spare parts, and exclusions.
  • The bidder shall provide lifecycle cost information for at least five years, including consumables, PM kits, major spare parts, software support, labor/travel, post-warranty rates, and expected replacement items.
  • The bidder shall provide an acceptance and handover plan covering configuration verification, safety/performance inspection, user training, biomedical handover, inventory data, manuals, warranty certificate, PM schedule, and service contacts.
  • The bidder shall identify the generic device name, specific type or variation, intended level of use, clinical department, and functional purpose so the Hospital Administration/Procurement/Biomedical Dept can confirm the offered device matches the actual service need.
  • The bidder shall list utility requirements, environmental operating/storage limits, accessories, consumables, spare parts, packaging/labelling requirements, applicable standards, regulatory approval/certification, and decommissioning/disposal cautions.
  • Bidder must provide documents for the exact offered model, supplied configuration, software version, accessories, and country-specific supply scope.
  • Bidder must identify applicable standards, approvals, certificates, local installation requirements, safety documentation, and any limitations of the supplied evidence.
  • The hospital shall verify local regulatory, accreditation, radiation, electrical, infection-control, and import requirements before award where applicable.

Warranty Requirements

  • State warranty duration and start trigger: delivery, installation, commissioning, or final acceptance.
  • Separate warranty for main unit, accessories, batteries, sensors, probes, software, consumables, installation workmanship, and third-party components where applicable.
  • Disclose exclusions for consumables, user damage, cleaning-fluid damage, utility problems, software upgrades, travel, labor, preventive maintenance, calibration, and accidental damage.
  • Provide post-warranty service contract pricing and spare-parts availability commitment for at least five years where possible.

Training Requirements

  • Provide end-user training before clinical handover using the hospital's actual workflow and supplied accessories.
  • Provide biomedical engineering or facilities training covering daily checks, first-line troubleshooting, PM expectations, documentation, escalation, and safety cautions.
  • Provide attendance sheets, training materials, competency checklist where relevant, and refresher-training pricing.

Service Requirements

  • Biomedical engineering should verify calibration method, infusion analyzer compatibility, battery replacement, keypad or door wear, pressure sensor checks, event-log access, and service password policy.
  • PM should include flow accuracy, occlusion pressure, bolus behavior, battery runtime, alarm checks, electrical safety, cleaning-condition inspection, and event-log review.
  • Rapid-infuser TCO is dominated by proprietary high-cost disposable sets, expiry/wastage, batteries, pumps/heaters, temperature and pressure verification, emergency readiness stock, and service coverage.
  • TCO depends heavily on proprietary sets or syringes, battery replacement, calibration labor, pump fleet size, drug-library support, damaged clamps/doors, and downtime replacement pool.
  • Request component-level warranty and five-year cost for sensors, valves, batteries, handpieces, vaporizers/modules, PM kits, calibration, labor, travel, and post-warranty service.
  • Clarify exclusions for gas quality, cleaning-fluid damage, consumables, accidental damage, third-party accessories, and installation works.

  • Maintenance documentation shall state user-care tasks, cleaning/disinfection method, calibration or testing equipment, advanced maintenance tasks, software/hardware upgrade path, and post-warranty spare-parts availability.
  • Vendor must provide PM frequency, service report format, required test equipment, calibration requirements, critical spare-parts list, emergency response time, and escalation contacts.
  • Vendor must submit a five-year lifecycle price schedule for consumables, accessories, PM kits, batteries/sensors/high-wear parts where applicable, software, labor, travel, and post-warranty support.
