Required Specifications

  • Name, category, and coding: generic name, specific type or variation, local naming/coding where available, and keywords linked to service area.
  • Purpose of use: clinical or operational purpose, level of care, clinical department/ward, user group, and overview of functional requirements.
  • Technical characteristics: critical measured or delivered parameters, ranges, displayed parameters, user-adjustable settings, alarms, compatibility, and interoperability.
  • Physical and utility requirements: dimensions/mobility, electrical supply, battery, water, gas, drain, network, environmental operating/storage limits, humidity, dust, and transport/storage conditions.

Vendor evidence: Lifecycle price schedule, PM checklist, spare-parts list, service report sample, and escalation contacts.

Evaluation note: Compare total ownership cost and downtime risk, not purchase price alone.

Optional Specifications

  • Advanced clinical applications, dose analytics, additional workstations, automated reporting/export tools, remote support, or uptime package where clinically justified.
  • Additional detectors, probes, coils, accessories, software licenses, or room integration items priced separately.

Accessories

  • Include calibration/QA phantom, positioning blocks and straps, table pad, workstation and printer/export, body-composition or orthopedic applications if required, DICOM license, and radiation-safety accessories.
  • Price QA phantoms, positioning aids, probes/coils/detectors where applicable, injector accessories, software licenses, workstations, UPS/chiller items, DICOM licenses, and startup consumables.
  • Patient positioning aids, workstation/licenses, DICOM/network accessories, QA phantoms or test tools where applicable, warning/signage items, and required startup consumables.
  • Integration cables, storage/export accessories, operator furniture, UPS if justified by hospital policy, and cleaning-compatible accessories.

Compliance Requirements

  • The bidder shall provide a clause-by-clause compliance matrix with documentary evidence for each mandatory and scored requirement.
  • The bidder shall submit an itemized scope of supply, including main equipment, accessories, consumables, software/licenses, installation, commissioning, training, warranty, PM, spare parts, and exclusions.
  • The bidder shall provide lifecycle cost information for at least five years, including consumables, PM kits, major spare parts, software support, labor/travel, post-warranty rates, and expected replacement items.
  • The bidder shall provide an acceptance and handover plan covering configuration verification, safety/performance inspection, user training, biomedical handover, inventory data, manuals, warranty certificate, PM schedule, and service contacts.
  • The bidder shall identify the generic device name, specific type or variation, intended level of use, clinical department, and functional purpose so the Hospital Administration/Procurement/Biomedical Dept can confirm the offered device matches the actual service need.
  • The bidder shall list utility requirements, environmental operating/storage limits, accessories, consumables, spare parts, packaging/labelling requirements, applicable standards, regulatory approval/certification, and decommissioning/disposal cautions.
  • Bidder must provide documents for the exact offered model, supplied configuration, software version, accessories, and country-specific supply scope.
  • Bidder must identify applicable standards, approvals, certificates, local installation requirements, safety documentation, and any limitations of the supplied evidence.
  • The hospital shall verify local regulatory, accreditation, radiation, electrical, infection-control, and import requirements before award where applicable.

Warranty Requirements

  • State warranty duration and start trigger: delivery, installation, commissioning, or final acceptance.
  • Separate warranty for main unit, accessories, batteries, sensors, probes, software, consumables, installation workmanship, and third-party components where applicable.
  • Disclose exclusions for consumables, user damage, cleaning-fluid damage, utility problems, software upgrades, travel, labor, preventive maintenance, calibration, and accidental damage.
  • Provide post-warranty service contract pricing and spare-parts availability commitment for at least five years where possible.

Training Requirements

  • Provide end-user training before clinical handover using the hospital's actual workflow and supplied accessories.
  • Provide biomedical engineering or facilities training covering daily checks, first-line troubleshooting, PM expectations, documentation, escalation, and safety cautions.
  • Provide attendance sheets, training materials, competency checklist where relevant, and refresher-training pricing.

Service Requirements

  • Biomedical should review QA/phantom requirements, calibration, service access, error logs, software versions, high-cost component warranty, remote service, and downtime escalation.
  • PM should include image quality QA, safety checks, calibration, software/log review, cleaning, mechanical movement checks, cooling/HVAC review, DICOM test, and baseline performance documentation.
  • DEXA TCO includes detector/tube service, calibration phantom and QA, analysis software and database updates, workstation support, room radiation compliance, positioning accessories, and downtime affecting osteoporosis services.
  • TCO includes high-cost components, room works, power/HVAC, QA tools, software licenses, service contract, tube/probe/coil/detector risk, downtime, upgrades, and PACS storage.
  • Request five-year pricing for high-cost components, software support, boards, detectors/image-chain items, accessories, PM kits, labor, travel, and post-warranty service.
  • Clarify exclusions linked to power, HVAC, shielding, network, third-party integration, operator misuse, software upgrades, and consumables.
  • Acceptance shall create the inventory baseline: asset identification, serial numbers, software version, accessories, warranty dates, location, risk/criticality, PM interval, and service contact path.

  • Maintenance documentation shall state user-care tasks, cleaning/disinfection method, calibration or testing equipment, advanced maintenance tasks, software/hardware upgrade path, and post-warranty spare-parts availability.
  • Vendor must provide PM frequency, service report format, required test equipment, calibration requirements, critical spare-parts list, emergency response time, and escalation contacts.
